Reservations

How a manager and a cashier book a table from the phone, hold it for the turn, and seat the party.

Reservations is the phone book for tables. The manager or the cashier takes the call, saves the party, and holds a table for the turn. Open it from the sidebar.

Reservations is on Economy, Premium, and Enterprise while the floor uses tables. On Basic the page is locked until the plan is Economy or above. While the floor serves by token only, Reservations stays off the sidebar. Kitchen logins stay on the kitchen screens. On Multi-Outlet, the book belongs to the outlet you are signed into. The outlet manager and the outlet cashier book for that outlet.

Seats on the tables

The manager opens Settings, then Tables. Each table has a name and Seats. Type the name, set Seats, and press Add. Edit changes the name or the seats, then Save. A table that has no seat count yet is treated as 4 seats. The cashier uses Reservations. The seat count decides which tables the book offers for a party.

The day book

The top of Reservations shows Bookings, Covers booked, and Seated for the day on screen. Cancelled rows stay out of those three numbers. Covers booked still counts a party that has no table yet.

Tonight is today. Tomorrow is the next day. Date opens a calendar for any day, including a day that has already passed, so you can look back.

The tabs are All, Booked, Arrived, Seated, No-show, and Cancelled. All leaves cancelled bookings off the list. Open Cancelled to see them. The list shows 10 bookings at a time. Previous and Next move through the rest.

Each row shows the time and when the turn ends, the guest, the phone, a note if you typed one, the covers, the table or Unassigned, and the status.

New reservation

Press New reservation.

The box opens on the current date, 30 minutes from now. Past dates stay off this calendar. The time has to stay ahead of the clock. A time that has already passed is refused, and the box says Date and time must be in the future.

Phone comes first. Type the 10-digit mobile. If that guest already ordered from the QR menu or the kiosk, the name fills in and the box says they are already a customer. A new number saves the guest, and First source on Customers shows Phone. You can type or change the name.

Covers is how many people are coming, from 1 to 40.

Turn is how long the table stays held. The usual turn is 90 minutes. The list is 60, 90, 120, 150, and 180 minutes.

Date and Time are when they will arrive.

Table lists tables that are free for that turn and seat this party. Each button shows the name and the seats, for example 6 ยท 4 seats. Leave every table unselected to assign one later. You can pick one table, or two.

When one free table seats the party, smaller tables stay off the list. When none does, the list shows free tables you can pair. Two 4-seat tables can cover 6 people. The line under the buttons tells you to pick two, or leave the booking unassigned.

Note is optional. Birthday, window, high chair.

Press Save.

Save checks the table again, in case another counter took it while this box was open. The message stays in the box:

  • Date and time must be in the future.
  • Table 6 is already booked for that time. Pick another table, or leave it unassigned.
  • Table 6 does not have enough seats for 6. With two tables the box names both. Pick tables that seat the party, or leave it unassigned.

When the guest arrives

On a Booked row, press Arrived.

When the row says Unassigned, press Assign table. The box lists free tables that seat this party. Pick one or two, then press Hold. A table taken by another counter, or a table that is too small, is reported in this box.

When a table is held, press Seat. That opens the dine-in screen on those tables, with the guest attached. Two tables show as 8 + 9. Place the order the way you already do. If that table already has a running ticket, Seat says so and stays on the book.

A seated row shows Open ticket. That opens Tickets.

Paying, no-show, and cancel

When the bill is paid, the booking becomes Completed. The table is free for the next party. A turn that ends at 9:00 leaves the table free for a 9:00 booking.

No-show is for a party that does not come, while the row is still Booked or Arrived. The table is released. The row stays under No-show, and it stays on the customer.

Cancel is for a party that calls off while the row is still Booked or Arrived. The table is released. Find that row on the Cancelled tab.

When the party is already seated, cancel the ticket. The box says Cancel the ticket if the party is already seated. Cancelling that ticket releases the table and marks the booking Cancelled.

On Customers

Open Customers. The Reservations column counts how many times that phone was booked, including a booking you later cancelled. First source shows Phone, QR menu, or Kiosk, whichever came first. A later phone booking leaves First source as it was.

Done

Press New reservation, type a phone and a name, keep the time 30 minutes ahead, pick a table that seats the party or leave it empty, and press Save. When they walk in, press Arrived, assign a table if the row is still unassigned, and press Seat.
