Hub-and-spoke logistics for a multi-outlet chain

How head office and a franchise outlet run supply: the outlet asks, the central kitchen sends, the outlet counts and pays the goods and the shipment charges.

This lesson is for a multi-outlet chain or a franchise group. The central kitchen is the hub. Each franchise outlet is a spoke. In the app the screen is HQ supply. Button names match that screen. A blank cell means that side does not have the feature.

Materials, purchases, recipes, and gross profit stay on Complete Inventory Management. Hub-and-spoke logistics is the book between the hub and the outlets that take supply from the central kitchen.

Head office and the franchise outlet

Screen HQ supply in the side menu. Help opens this lesson. Sub outlet sits beside the title. All outlets is the default. The gold menu is Desk, Books, Logistics, and Prepare. Under Desk: Requests, Prices, Walk, and Outlet shelf. HQ supply in the side menu. The tabs are Request sheet, Ledger, and Logistics. There is no outlet dropdown. This login is already that door.
Ask New request. Choose This request is for, type a quantity on at least one material, and fill To. Save the request. QuickKOT emails it. A new address stays on that outlet. The row also appears on that outlet’s request sheet. New request on Request sheet. Type a quantity on at least one material and fill To. Ask HQ. The step is Outlet requested. QuickKOT emails it. A new address stays on this outlet.
Request list Requests. Status is Outlet requested, HQ accepted, or both. Supply number finds one row. Request sheet. Today, Yesterday, Last seven days, This month, or Between days. Request number finds one row.
Open a request Open a row at Outlet requested and press Accept the request. The step becomes HQ accepted. Nothing has left the hub shelf yet. Open the row. Print on A4. Download PDF. Download Excel. Send from QuickKOT emails it again. The buying price stays the price from when this outlet asked.
Sending quantity On Sending, type what will be loaded. Use the requested quantities copies the ask. Cap at the starting pile holds the figure at the quantity the hub held when the request opened. Save the sending quantity. The send stays inside that starting pile.
Price An empty Price uses the hub shelf rate plus that outlet’s markup. A typed price, including zero, stays on this supply. Save the price before sending. Prices sets the next supply: Markup (%), a typed price per material, Save the next supply. After the goods leave, Correct the price on that supply number changes this supply only. The request sheet keeps the prices from the ask. The request sheet shows the price from the ask. After the goods leave, the row shows the supply price beside what was asked and what was sent. Hub shelf cost stays on the hub books.
Shipment amount Starts as quantity times supply price. Type another figure and press Save the amount. That figure is kept on the trace. Clear the field and save again to return to the calculation. A figure that is not a number is refused: The shipment amount is zero or more. Clear it to use the calculation. The ledger shows the goods at the buying price. This login does not type the shipment amount.
Dispatch Choose a Mode. It fills Carrier, Document, and Freight. Type Vehicle number when the mode records one. Save the dispatch. Zero freight is a free trip. A blank freight is refused: Enter the freight. Zero is a free trip. Once the goods have left, the row shows mode, carrier, vehicle, document, e-way, sent, and delivery.
Send Send the item opens after the dispatch is saved and the price and shipment amount on the screen match what was saved. The logistics register shows In transit. Shipment charges go on that outlet’s ledger. An e-way number is written when the shipment amount is ₹50,000 or more. Below that, E-way stays a dash. Shipment charges shows the freight. The line under it says those charges are on this outlet’s ledger and this outlet pays them.
Count Walk opens a request still on the desk, or the count on a supply that has left. Accept the count puts the counted quantity on the outlet shelf. A count above what left takes the extra only up to what the hub still holds. A first count below what was sent leaves the difference as an open difference at hub cost. Accept the corrected count returns a lower difference to the hub shelf. Delivered on Walk is the logistics date. It does not change the step. Type the count and press Add the counted quantity. On a supply already counted, the button is Correct the count. After the hub has accepted, a further change is Save the corrected count. That figure stays a draft until the hub accepts it.
Outlet shelf Outlet shelf needs one sub outlet chosen beside the title. The table is Material, On hand, and Reorder at. A red row is at or below that outlet’s reorder point. The shelf is read only.
Prepare Prepare reads the last eight weeks of requests and lists what each franchise outlet is likely to ask over the next seven days, including today. A weekday that has come up at least twice sets that day and the usual quantity. When no weekday repeats, the usual gap since the last ask places one day in the week. To have on the hub shelf sums those quantities by material. By day lists the outlet, the material, the quantity, and why. One sub outlet beside the title limits the page to that door. A request already in today is left off today. One earlier request is not a pattern. The story is prepare the central kitchen before the franchise outlet asks.
Figures Books, then Figures. Step filters the list. A row shows what left the shelf at hub cost, the shipment amount, the shipment charges, and the hub margin on the counted quantity.
Ledger All outlets lists each outlet’s open balance: goods plus shipment charges, minus payments. One outlet shows that door’s rows: Date, Particulars, Goods, Shipment charges, Payment, Balance. A request is not a ledger line. Clear the balance records a payment the outlet made: amount, Cash, UPI, Bank transfer, Card, or Cheque, a date, and a note. Record the payment. The same payment appears on the outlet ledger. There is no Pay on a supply row. Goods at the buying price, plus the shipment charges on each supply, minus payments. The columns add Pay. Pay on a supply opens Pay supply and that number. The amount starts at that supply’s goods plus its shipment charges, and it stops at whatever is still open. Clear the balance starts at the whole open balance. A smaller amount leaves the rest open.
Register Logistics, Register. Filter In transit or Delivered. Open a row to correct the dispatch. Proforma downloads the transit paper: the goods, and a line that the shipment charges are on the outlet ledger. Logistics lists shipments that have left, with their shipment charges. This login does not edit the dispatch.
Delivered Delivery date is the sent day or a later day. Mark delivered. Date received is the sent day or a later day. Note is the condition of the shipment. Record received. The hub register shows Delivered.
Charges Charges lists the freight booked when each supply left. This tab has no Pay button. The outlet pays those charges from its ledger.
Modes New mode. Name the mode, the document, the carrier, and the Freight rate. Tick Each dispatch on this mode records a vehicle number when the van number belongs on the dispatch. Add mode. Open a row and press Save the mode. The rate copies onto the next dispatch only. Remove the mode hides it from new dispatches. Rows already sent keep the mode they used.

One supply, in figures

The hub holds 40 kg of batter at a shelf rate of ₹40. A franchise outlet asks for 10 kg. Markup is 10%, so the supply price is ₹44. With the shipment amount left blank, the goods are 10 × ₹44 = ₹440. Freight ₹80 is saved on the dispatch. Send the item books ₹440 of goods and ₹80 of shipment charges on that outlet’s ledger. The open balance for this supply is ₹520. The hub shelf falls by the 10 kg that left. Those 10 kg were inside the starting pile of 40 kg.

The outlet counts 10 kg. Accept the count puts 10 kg on the outlet shelf. With the shipment amount still blank, the goods stay ₹440, and the ₹80 shipment charges stay beside them.

A later corrected count of 8 kg, once the hub accepts it, returns 2 kg to the hub shelf and moves the outlet shelf to 8 kg. If the shipment amount is still the calculation, the goods follow that accepted count. A typed shipment amount stays the typed figure. A corrected count above what left takes the extra only up to what the hub still holds.

Pay on this supply starts at the goods plus the ₹80. Clear the balance pays whatever is still open, including shipment charges from other supplies. Freight 0 is a free trip: the ledger still shows the goods, and the shipment-charges figure is zero.
