Users and roles — single kitchen, Centralised billing, Multi-Outlet

Who takes payment, who sees one kitchen, and who opens inventory. Manager, Kitchen Manager, Cashier, station logins, and outlet logins.

Three ways to run the floor. They do not share the same logins. Single kitchen is one cook line and one bill. Centralised billing is one guest bill across many kitchens in the same place. Multi-Outlet is a separate location, with its own menu and its own bills. Centralised billing is not Multi-Outlet.

Email is only the login. Reports show the person name. Each person sets a password from the invite mail.

1. Where you invite them

Settings → Users — Manager and Cashier. On a single kitchen that has not confirmed Centralised billing, the same list also has Kitchen Manager.

Settings → Stations — kitchen logins. On Centralised billing: Station manager or Station sub manager. On Multi-Outlet: Outlet manager or Outlet cashier. Those logins count toward the user cap. The cap is on the Users page.

Keep at least one Manager. On an outlet, keep at least one Outlet manager.

2. Single kitchen

Basic, Economy, and a Premium or Enterprise house that is still one kitchen and has not confirmed Centralised billing. A café and a dining room with one pass live here. Not a food court, and not a chain of locations.

Basic is one Manager. Economy adds a second login, so the counter and the kitchen do not have to share that password. A Kitchen Manager is available on Economy, Premium, and Enterprise while the house stays a single kitchen.

Manager

The house login. POS, tickets, reports, the menu, and house settings: Profile, Plan information, Tax, Print options, Payment modes, Discounts, Users, and Stations when the plan includes them.

When that kitchen has Inventory Management, the Manager opens Inventory, Recipe, and Procurement for that kitchen. Inventory is not required to take an order. It is not part of Basic.

Kitchen Manager

The cook’s login for that one kitchen. Same kitchen screens as a Centralised Station manager: KDS, Reports, Kitchen items, Completed, and Cancelled. Settings is Profile, and only the password.

No POS. They do not collect payment. They do not open Tax, Users, or the house menu.

When that kitchen has Inventory Management, the Kitchen Manager opens that kitchen’s inventory. A Cashier does not.

The invite lists Kitchen Manager only while the house is a single kitchen. It is not on confirmed Centralised billing, and it is not on Multi-Outlet.

Cashier

The counter. POS, tickets, and Completed. Draft tickets when the plan has them. Settings is Profile, and only the password.

No inventory. No house settings. No kitchen-item edits.

3. Centralised billing

Premium or Enterprise, billing model Centralised, confirmed. One guest pays once. Each kitchen sees only its own lines. This is the food court, and the hotel with several kitchens. It is not Multi-Outlet. First week on the floor: Premium, centralised billing.

Manager

The house login. POS for the guest bill, house KDS for every kitchen, reports, and house settings. Mark served waits until every kitchen has handed the food off.

This Manager does not hold a kitchen inventory of their own, even when the property still has one kitchen. Stock stays with the kitchen that cooks. When a kitchen has Inventory Management, that kitchen’s Station manager opens it.

Station manager

One kitchen. KDS for that kitchen only, Reports, Kitchen items, Completed, and Cancelled. A grill ticket must not appear on the pizza tablet. Settings is Profile, password only. No POS, so they do not take the guest’s payment.

When that kitchen has Inventory Management, this login opens that kitchen’s Inventory, Recipe, Procurement, Purchase, Suppliers, and Gross Profit.

Station sub manager

KDS and Kitchen items for that kitchen only. No reports, no POS, no house settings. Each kitchen that has a login still needs at least one Station manager.

Cashier

The same counter login as a single kitchen: POS and payment, password only, no inventory.

When a single kitchen confirms Centralised billing

From Economy, or by confirming Centralised on Premium or Enterprise. Every Kitchen Manager becomes a Station manager of the first kitchen. They are not turned into outlet logins. Choosing Multi-Outlet does not do this.

4. Multi-Outlet

Premium or Enterprise, billing model Multi-Outlet. Each location has its own menu, order numbers, and bills. Head office does not put two cities on one guest check. This is a chain or a franchise, not a food court.

Manager at head office

Catalog, POS, and tickets for head office. Tickets at a location are view-only from head office. Reports and Completed can switch to a location. When Inventory Management is on and there is more than one location, this Manager’s inventory is the head-office kitchen only.

Outlet manager

That location’s manager. POS, reports, the bill header, tax, users for the outlet, and the outlet’s tables. They do not change another location’s tickets. When that location has Inventory Management, they open that location’s inventory.

Outlet cashier

That location’s counter. Same limits as a house Cashier: payment, password only, no inventory.

Done

Single kitchen: Manager, Kitchen Manager, Cashier. Centralised billing: Manager, Station manager, Station sub manager, Cashier. Multi-Outlet: head-office Manager, Outlet manager, Outlet cashier.

Why a café, a restaurant, a food court, a chain, and a hotel should not share one password: why those floors should not share one login.
